The Five Agents
Estimates use one example firm: Kapoor & Mehta Associates, Ahmedabad, with 300 clients and 450 licences in its register, about 20 of which expire each month.
Agent 1 · Trigger: License Created
License Onboarding Agent
50 min/mo savedWhat it does: When a client licence is added to Turia's License Register, the agent confirms it to the client and the responsible staff member, with the licence type, number and expiry date.
Why it matters: The moment a licence is recorded is the cheapest time to agree on its expiry date. Confirming it to the client catches typos and wrong dates before they turn into a missed renewal two years later.
Without it: Enter the licence in a spreadsheet, then message the client and staff member separately.
5 min × 10 new licences = 50 minutes a month
Agent 2 · Trigger: License Renewed
License Renewal Agent
160 min/mo savedWhat it does: When a licence is renewed, the agent tells the client and the staff member, and confirms the new validity date now on record.
Why it matters: Clients often renew a licence themselves and forget to tell the firm, or the firm renews and forgets to update the register. Confirming every renewal keeps the register true, so the next reminder goes out on the right date.
Without it: Update the register, message the client, and file the renewed copy.
8 min × 20 renewals = 160 minutes a month
Agent 3 · Trigger: License Expiry Approaching
License Expiry Reminder Agent
300 min/mo savedWhat it does: Sends licence expiry reminders to the client and the responsible staff member well ahead of the expiry date, for example 60, 30 and 7 days before.
Why it matters: Licence renewals rarely happen in a day. Depending on the licence and the state, renewal can involve documents, fee payment, inspections or a department's processing time, so the reminder has to arrive while there's still time to do all of that.
Without it: Sort the licence spreadsheet by expiry every month, then send three rounds of reminders by hand.
9 min × 20 expiring licences (3 reminders × 3 min) + 120 min monthly register sweep = 300 minutes a month
Agent 4 · Trigger: License Expired
License Expired Alert Agent
25 min/mo savedWhat it does: The day a licence expires, the agent alerts the client and the partner or manager responsible for that client.
Why it matters: Operating on an expired licence can expose a client to penalties or closure, depending on the licence. A same-day alert means the client hears it from their CA, with a plan, rather than from an inspector.
Without it: Discovered when the client calls, or when an inspector does.
5 min × 5 lapsed licences = 25 minutes a month
Agent 5 · Trigger: Create Task when License Expires
License Renewal Task Agent
25 min/mo savedWhat it does: Creates a renewal task as soon as a licence expires, assigns it to a team member and sets a due date, so the renewal is tracked like any other client assignment.
Why it matters: A renewal that lives only in an alert gets lost. A task has an owner, a status and a due date, appears in the team's workload, and can be billed when the work is done.
Without it: Someone creates the renewal task by hand, if they remember.
5 min × 5 renewal tasks = 25 minutes a month
All five agents together
560 minutes a month of routine licence follow-up, plus about 3 rushed renewals a month avoided at roughly 4 hours each. That's around 21 hours a month for one firm.
